Understanding Your Analytics Dashboard: KPIs, Timeframes & Scan Trends
Learn how to read your 4 core KPI cards, switch between 7, 30, and 90-day timeframes, and visualize daily scan trends with area, line, and bar charts.
#What is the Analytics Page For?
Think of your Analytics page as a clear, real-time report card for your review collection operations. It gives you honest, data-backed answers to the questions that matter most to your business:
- How many customers actually pointed their phone camera at your QR codes this week or month?
- Out of all the people who scanned, how many took 10 seconds to post a 5-star review?
- How many unhappy customers were intercepted privately before posting negative feedback on Google?
- Which days of the week and hours of the day generate the highest customer participation?
You do not need to configure complex settings here. This is primarily a reading and discovery page where you inspect numbers and visual charts to optimize your business operations.
Checking Your Plan Access
⢠Free Plan: The Analytics page displays an "Upgrade to Unlock Analytics" lock overlay. ⢠Starter Plan: Grants access to the 4 core KPI cards, Scan Trends chart, Star Rating Distribution, and Language Breakdown. ⢠Pro & Agency Plans: Completely unlocked, including Peak Scan Hours heatmaps, Review Length analytics, Keyword Performance tables, and downloadable PDF reports.
#Step 1: Selecting Your Time Period
Before evaluating your performance numbers, always choose the timeframe you want to examine using the period selector buttons in the top-right corner:
- 7 Days: Shows data for the last 1 week. Perfect for checking weekly staff goals or immediate reactions to new tabletop stands.
- 30 Days (Default): Shows data for the last 1 month. The best timeframe for calculating staff incentive bonuses and monthly growth.
- 90 Days: Shows data for the last 3 months. Essential for evaluating long-term seasonal trends without getting distracted by a single quiet day.
The Refresh Button
If you just tested a QR code scan on your own phone and want to see it appear right away, click the Refresh button next to the time selector to reload the newest data instantly.
#Reading the 4 Core KPI Summary Cards
At the top of the page, 4 large metric cards summarize your review funnel at a glance:
Total Scans
This counts every single time a customer pointed their phone camera at your QR code and opened your review landing page. Even if someone got distracted and closed their browser without writing anything, opening the page counts as a scan. Example: 200 Total Scans means 200 customers physically opened your review prompts on their phone.
Conversions
This tracks how many of those scanners actually clicked on a review suggestion and tapped through to Google (or your chosen review platform) to submit it. Example: Out of 200 scans, 80 customers clicked through to Google. Those 80 are your successful Conversions.
Conversion Rate (%)
This is the percentage of scanners who ended up submitting a review. It is calculated by dividing Conversions by Total Scans. Example: 80 conversions out of 200 scans = 40% Conversion Rate. In physical retail and hospitality, any conversion rate above 30% is considered outstanding.
Negative Redirects
When a customer scans your code and indicates they had a poor experience (rating 1, 2, or 3 stars), Karo Simple's Review Shield privately routes them to an internal feedback form instead of Google Maps. This card tells you exactly how many bad public reviews your Google profile was protected from. Example: 15 Negative Redirects means 15 dissatisfied customers shared their concerns with you privately, saving your Google reputation.

#Visualizing Performance with the Scan Trends Chart
Directly beneath the 4 KPI cards is the Scan Trends chart. It tracks your daily scan velocity, conversions, and negative redirects day by day over your chosen timeframe.
This chart makes it effortless to identify weekly patterns. For example, if your scan volume always dips sharply on Sundays, it confirms that your foot traffic is lower or customers are in too much of a rush on weekends. You can use this insight to adjust your promotional schedule.
- Area Style (Default): Displays smooth gradient shading beneath the trend lines. Best for understanding overall growth and total volume.
- Line Style: Displays crisp, clean lines without fill. Best for comparing scans against conversions side by side.
- Bar Style: Renders vertical bars for each calendar day. Best for examining exact daily count differences.
- Pie / Radial Style: Renders a circular breakdown showing the overall proportion of scans converted versus dropped off.
