Creating User Accounts & Linking Client Businesses

#Adding New Users to Your Agency Roster

Whenever you sign a new business client or when an existing client hires additional staff, you can create their login credentials directly from the Agency Users hub. This ensures seamless account onboarding without requiring clients to navigate public signup flows.

#Step-by-Step: Adding a New User Account

Click the "+ Add User" Button

At the top right of the Agency Users page, click the green "+ Add User" button to open the account registration modal.

Enter Contact Details & Starting Password

Fill in the user's Full Name, Email Address (this serves as their permanent login ID), and optional Phone Number. Enter a secure starting password of at least 8 characters.

Select User Role

Choose either BUSINESS_OWNER (for a client business principal) or EMPLOYEE (for a frontline staff member).

Assign Business Property (Mandatory for Employees)

If you selected the EMPLOYEE role, a dropdown appears prompting you to select which client storefront this staff member belongs to. Select the correct business from the list.

Save and Create Account

Click "Create User". The account is generated instantly, and the user appears in your active directory.

Scenario 1: Onboarding a New Client Business Owner

You sign a new client: Kavita Mehta, owner of a jewellery boutique in Surat. You add Kavita as a BUSINESS_OWNER with her email and a temporary password. Her login account is created immediately. Next, you navigate to the Client Businesses page, create her shop profile, and assign Kavita as the owner.

Scenario 2: Enrolling a Frontline Staff Member

Kavita's jewellery boutique hires a new senior sales consultant named Dinesh. In Agency Users, you click "+ Add User", enter Dinesh's details, set the role to EMPLOYEE, and select "Kavita's Jewellery House" from the dropdown. Dinesh's personal review tracking QR code is generated automatically!

#Understanding the 2-Step Workflow for Business Owners

A common question among new agency operators is why creating a Client Owner does not automatically create their storefront:

  • Step 1 (User Identity): Creating the user account in Agency Users gives the person login credentials (email and password).
  • Step 2 (Storefront Linking): Connecting that user to their physical business profile is completed on the Client Businesses page (either during business creation or using the Edit / Assign button).
Multi-Location Owners

This 2-step separation is extremely powerful! It allows a single business owner account (e.g. Kavita) to be assigned to 3 or 4 different branch locations without creating duplicate user logins.

#Editing User Details & Email Warnings

If a client updates their phone number or changes their legal name, click the Edit pencil button on their table row to update their profile.

Important Warning Regarding Email Updates

A user's email address is their direct username login ID. If you change a user's email, you must notify them immediately! Their previous email will no longer work for authentication.
